- Go to Settings
- Click Phone Numbers then click the GREEN “+ Add Number” button
- Click Filter and enter the Area Code that matches your User’s (or your intended market) area code into “Search By digit or phrases” and Match To “first part of number” then click APPLY for available phone numbers.
- Once the new number has been acquired to your account, click the Pencil icon to the right of it to make Edits.
On the pop-up screen, type in the User’s full name as the Number Name.
Type in the User’s actual number in the Forward Calls To field.
Click SAVE when ready.

- Go to Settings
- In the pop-up screen, start with the USER INFO section:
Here you want to fill out:
- Their FIRST & LAST names
- EMAIL ADDRESS
- PHONE NUMBER (this would be their actual phone number)
- Seeing an error? Refer to Error: “Invalid phone number”
- PASSWORD (you assign them one right here. We suggest something like “Firstname$123” by using their firstname)
- USER PERMISSIONS section
<aside> 💡 The only permission you’ll have to turn ON is Only Assigned Data because it is defaulted to OFF. Having this ON will limit this User to only see his/her own leads and no one elses’. This is sometimes used for sales team.
There will be a pop-up to notify you of this. Click “OK” on the popup.

**Typical Sales-Employee User Permissions Template:**
- Next, skip to the CALL & VOICEMAIL SETTINGS section
***If you completed Step I above and had set up a Phone Number for this, the number should show up in the dropdown box under Inbound Twilio Number.
Select the number named after the User you’re creating the profile for.
Be sure to mark the two “Default Channel” options as My Phone Number if you want the User’s phone to ring when a call is forwarded.

The reason why we do this is because if you have your USERS inside automations, whenever the automations are to send Emails or SMS messages to the User, he/she would be populated as a CONTACT entry automatically. It will be annoying to have separate entries for 1 person as: 1) An Unnamed Phone Number 2) An Unnamed Email Address
Prevent this by adding them as a Contact as well
- Go to Contacts and click the + icon
- Enter your User’s First name, Last name, Email, Phone Number then click Save
****3) Once the entry has been created, scroll down on the left-hand section to TAGS and type in “user”. The dropdown will show “user”. Select this and you have now tagged this new Contact with “user”.
✅ Complete! You’ve successfully added your new User as a Contact entry as well, which will prevent new duplicated entries by the system whenever it contacts this person.
